    ALLOCATION CONDITIONS FOR VUB ROOMS 2018-2019

    To qualify for a VUB room, you must meet a number of conditions.

    Conditions

    For the academic year 2018-2019 you must comply with these terms and conditions:

    • You must be enrolled in a basic education*
    • You must be enrolled under a full-time diploma contract**
    • You may not have acquired a Flemish master's degree
    • You are a good tenant***

    *Basic education = Basic education only includes a bachelor programme, initial master or preparation programme for an initial master. Students enrolled in other types of education (advanced master, doctorate, teacher training, postgraduate degree, etc.) can rent a VUB room, but they are not on top of the priority list.

    **Full-time diploma contract = A full-time program requires admission to a minimum of 54 credits. Students who enroll with fewer credits and/or with an exam contract are not eligible for a VUB room.

    *** Good tenant = no overdue payments and no misconduct during the previous academic year.

    Exceptions to the basic conditions

    In the context of an equal opportunity policy, following students who do not meet the basic conditions can be assigned a VUB room:

    PRIORITY LIST 2018-2019

    If the demand for VUB rooms is greater than the supply, we use a priority list. The allocation priorities are listed from high to lower priority.

    PRIORITY STUDENT CATEGORY
    1 New students who have no previous enrolment in higher education in or outside Flanders
    2 VUB students reapplying for a VUB room and currently have a VUB room for the first year
    3 VUB students reapplying for a VUB room and currently have a VUB room for the second year
    4 Students who have never had a VUB room before (irrespective of whether they've been previously enrolled at the VUB)
    5 VUB students who have already more than 2 years a VUB room
    6 VUB students reapplying for a VUB room who submitted their applications after 1 May
    7 Students who don't meet the allocation conditions*

    * Students who don't meet the allocation conditions:

    • Students in other types of study programme (Advanced masters, PhD, teacher training, postgraduates, etc.);
    • Students only registered by credit or exam contract;
    • Students registered for less than 54 credits;
    • Incoming exchange students;

    Priority within the same priority category

    If there are not enough rooms available to allocate a room to all students of a priority category, priority is given to the the earliest submitted applications.

    No right to a VUB room

    • Students displaying bad behaviour during the past academic year;
    • Defaulters at Student Housing or any other service at the Vrije Universiteit Brussel.

    Exceptions to priority list

    In addition to the above priorities, certain students can get a room for all other applications:

    Lodging an appeal

    If you do not agree with a decision of Student Housing regarding room allocation, you can lodge an appeal.

    APPLY FOR A VUB ROOM

    You can find the important dates and the application for the academic year 2018-2019 below.

    1 May

    The 1st of May is the deadline for all applications.

    Student Housing will order the applications - which were submitted in time and meet the allocation conditions - in their priority category according to submission date.

    15 May

    As of 15 May the rooms are allocated to the students who have submitted their applications on time. Students who receive no allocation, will be put on the waiting list.

    If you’ve submitted your application in time and you haven’t received an answer at the end of May, please contact Student Housing.

    8 July

    Students who have received a room allocation need to confirm it on 8 July at the latest:

    • Students who did not rent a room during the previous academic year (2017-2018) need to confirm their room allocation by paying a non-refundable deposit of € 100,00.
    • Students who rented a VUB room during the previous academic year (2017-2018) need to confirm via Student Selfservice that they want to keep their room the following year. Log in and navigate to Main Menu>Selfservice>Housing>Room confirmation and confirm your room allocation.
      • If they cancel their room after 8 July and before signing the contract they will be charged a fine of € 100,00.

    Students who have not confirmed their allocation by 8 July at the latest, irrevocably lose their right to a VUB room. The allocated rooms that were not confirmed will be assigned to the students on the waiting list after 8 July.

    Beginning of August

    As of the beginning of August Student Housing will publish for each campus the amount of applications per priority category on the waiting list on STUDENT.VUB. This waiting list will be dynamic.

    Late applications (= after 1 May) will be added to the waiting list:

    • Applications from new students will be added in order of priority and in order of application date.
    • Applications from VUB students reapplying for a VUB room have the lowest priority.

    When rooms become vacant, the students on the waiting list will be contacted by Student Housing in order of the positions on the waiting list. Rooms become vacant during the academic year as well!
